You are 

An Administrative Assistant, Reception & Community Inclusion. You will provide administrative and reception services for Manitoba Possible’s head office and Community Inclusion programs, including self-help groups, supporting staff, clients, and visitors. This role manages daily office functions, responds to phone, email, and in‑person contact, and completes a variety of administrative tasks in a busy environment.

Ideal Candidate:

  • At least two years of direct experience in an administrative assistant position or equivalent.
  • Post-Secondary Certificate/Diploma in Office management or Administration.
  • Advanced skills in Microsoft Outlook, Excel, PowerPoint and Word; ability to quickly learn additional software programs, as required. Proficiency with current office machines, computers, customized databases.
  • Knowledge of and experience working with self-help volunteer organizations.
  • General knowledge and experience of working with Deaf persons and persons with disabilities, and general knowledge of accessibility including accessible customer service.
  • Ability to work well, individually and as team member, under pressure to meet deadlines.
  • Excellent communication skills ability to communicate confidently, respectfully, and professionally
  • Excellent customer service skills: Polite and considerate, patient and calm under pressure, empathetic, strong problem-solving abilities, and friendly with a positive attitude. Self-direction, high motivation and level of enthusiasm.
  • Experience with basic accounting.
  • High degree of discretion when dealing with confidential/sensitive information.
  • Professional manners as representative of Manitoba Possible’s image both internally and externally.
  • Bilingual French and English are required.
  • Fluency in American Sign Language is an asset.

 

Responsibilities:

  • Provide operational and administrative support to Community Inclusion Support Services and self-help groups.
  • Provide primary reception services, including managing phone, email, and in‑person communication, offering general wayfinding, answering building‑related questions, and connecting people with the appropriate staff. Helps maintain a welcoming and accessible entrance area, including basic tidying and light outdoor upkeep such as sweeping or shoveling as needed.
  • Perform office data tasks, including creating, maintaining, and administering client files. Coordinates and prepares files for intake and archiving to ensure accuracy and completeness. Serves as the primary user of the Client Information Management System, entering client data, creating forms, generating reports, and providing training and day to day support to staff.
  • Perform key office functions such as maintaining consistent forms and procedures, identifying areas for clarification, and recommending improvements. Coordinates financial activities, including accounts payable and receivable, purchase orders, invoices, and processing expenditures in the electronic accounting system.
  • Represent and participate in Manitoba Possible initiatives, committees, projects, both internal and as assigned by Management.
  • Assist Manitoba Possible in compliance with policies and procedures and supporting funding agreement processes.
  • Participate in and support program meetings as assigned, including scheduling meetings, preparing agendas, preparing and distributing materials or packages, and taking minutes.
  • Provide back-up relief for other administrative support position(s), as required.
  • Prepare various reports as required.
  • Provide basic IT support to staff as needed.
  • Provide support for staff for workshops, special events or mailouts, and meetings.
  • Assist Management in administering client feedback surveys and other questionnaires, organizing the data, and preparing reports as required.
  • Coordinate room bookings, scheduling, and set up for meeting rooms, ASL interpreters, and Deaf Interpreters for program activities and meetings as requested.
  • Maintain office supplies and forms, as well as office equipment, ensuring that supplies and forms are kept stocked and office equipment is serviced as needed.
  • Responsible for all incoming and outgoing mail and deliveries, including opening, sorting, date‑stamping, and distributing items as required.
  • Provide support to volunteers and work experience participants as required.
  • Consistently communicate in a respectful, responsive, and responsible manner.
